The receptionist is also responsible for answering the phone, taking messages, responding to inquiries, greeting guests, documenting incoming and outgoing mail, and performing other administrative duties.
Responsibilities:
- Greet staff, community members, and guests in a friendly professional manner
- Knowledge of safety procedures when an angry client or public member enters the office
- Always maintain confidentiality and respect. Including confidential mail and client information.
- Direct the public to the appropriate staff member
- Responds to phone, email, and fax messages and in-person inquiries which involve general information and referring inquiries to appropriate sources.
- Ensure that the office desk and area are clean and tidy.
- Light janitorial duties as a team
- Keeps inventory and completed orders of office supplies as needed
- Ensure filing is updated to date and in order
- Responsible for recording all incoming and outgoing mail logs
- Responsible for recording all incoming phone calls and messages daily
- Assist with meetings/taking notes when required
- Assist with public events, forums, workshops, and community events, etc.
- Assist with any preparation of meetings regarding set up and arrangements for lunch.
- Responsible for ensuring that all office equipment and supplies are maintained and keeping an inventory.
- Attend monthly staff meetings and provide monthly reports when required
Other duties assigned by the OLCN Prevention Resources Manager
Qualifications:
- Minimum Grade 12 or equivalent
- Certified in administrative support and office assistant
- Related experience in reception work or equivalent
- Knowledge of Computer software applications such as; MS Excel, Outlook, Word, PowerPoint, etc.
- Clear Criminal Record and Vulnerable Sector
- Valid Class 5 License
