Job Summary: The Membership Clerk provides administrative support to the Membership Department by assisting with band membership and CIS/SCIS applications, maintaining accurate and confidential records, responding to member inquiries, and coordinating with Indigenous Services Canada and external organizations. The position delivers professional customer service while ensuring compliance with legislation, policies, and departmental procedures.
Responsibilities:
Provide administrative and operational support to the Membership Department.
Assist with Band Membership administration and Certificate of Indian Status (CIS/SCIS) application processes.
Receive, review and process membership and registration applications in accordance with applicable legislation, policies and procedures.
Maintain confidential membership records, files and databases, ensuring accuracy and data integrity.
Perform data entry, records management and filing duties.
Respond to inquiries from community members and provide information regarding membership and registration services.
Liaise with Indigenous Services Canada, government agencies and external organizations regarding membership matters.
Prepare correspondence, reports and administrative documents as required.
Support modernization initiatives, data integrity projects and procedural improvements within the Membership Department.
Assist with the implementation of new administrative systems and processes to improve service delivery.
Maintain accurate documentation and ensure all records are up to date.
Provide respectful, professional and confidential service to community members and stakeholders.
Interpret and apply departmental procedures, policies and operational requirements in the delivery of Membership services.
Participate in other duties and special projects as assigned by the Membership Coordinator or designate.
Qualifications:
High school diploma or equivalent.
Minimum of one (1) year of office or administrative experience.
Experience working with confidential information, records management, data entry and administrative filing systems.
Knowledge of Band Membership administration, Indian Status registration processes and applicable legislation or policies related to membership and registration services is considered an asset.
Proficiency in Microsoft Office applications, including Word and Excel, email systems and standard office equipment.
Ability to maintain accurate records and documentation with a high level of attention to detail.
Ability to interpret and apply departmental procedures, policies and operational requirements.
Ability to speak Cree is an asset.
Strong knowledge of community families, kinship relationships and community dynamics.
