Job Summary: The Fleet and Assets Coordinator reports directly to the OLCN Director of Administration and is responsible for overseeing the maintenance, scheduling, tracking, and operational efficiency of fleet vehicles and organizational assets. This position ensures all vehicles and assets are safe, compliant, properly maintained, and available to support departmental operations and community programming. The Fleet Coordinator works closely with management, program staff, drivers, vendors, and service providers to support the effective delivery of transportation and asset-related services.
Responsibilities:
- Coordinate and implement fleet and asset management policies, procedures, and best practices.
- Maintain accurate inventories of fleet vehicles, equipment, and organizational assets, including maintenance, insurance, licensing, and asset-tracking records.
- Schedule and monitor vehicle maintenance, inspections, repairs, and servicing to ensure safety and
compliance. - Track vehicle usage, fuel consumption, maintenance costs, and overall fleet performance.
- Conduct regular inspections of vehicles and assets to ensure they are clean, safe, operational, and
properly maintained. - Liaise with mechanics, vendors, and service providers to coordinate repairs, preventative maintenance,
and asset servicing. - Develop and manage fleet schedules to ensure vehicle availability for departmental operations and
community programs. - Coordinate and communicate with casual drivers regarding schedules, expectations, and responsibilities.
- Collaborate with program coordinators, facilitators, and other departments to ensure vehicles and assets
are assigned according to operational needs. - Maintain accurate records and prepare monthly operational reports for management.
- Monitor fleet- and asset-related expenses and assist with budgeting and replacement planning.
- Organize, store, track, and distribute departmental equipment, supplies, and assets as required.
- Attend staff meetings, participate in departmental planning activities, and perform other duties as
assigned. - Represent Onion Lake Cree Nation in a professional and respectful manner and serve as a positive role
model within the community.
Qualifications:
- Minimum Grade 12 education or an equivalent combination of education and experience.
- Experience in fleet coordination, logistics, asset management, transportation, or a related field is
preferred. - Knowledge of vehicle maintenance, repairs, fleet operations, and asset management practices.
- Strong organizational, time management, communication, and problem-solving skills.
- Proficiency in Microsoft Excel, Outlook, Word, and PowerPoint.
- Ability to maintain accurate records and prepare reports.
- Ability to multitask and work effectively in a fast-paced environment.
- Ability to work independently and collaboratively within a team environment.
- Valid Class 5 Driver's License required.
- Clear Criminal Record Check required.
- Ability to work flexible hours, including evenings and weekends when required.
