Job Summary: The Finance Clerk for the Onion Lake Cree Nation Prevention Department provides essential financial and administrative support under the supervision of the Administrative Coordinator. This position is responsible for processing financial transactions, maintaining accurate records, and supporting budget tracking to ensure effective and accountable financial management within the Prevention office. The Finance Clerk plays a key support role in ensuring all financial documentation is accurate, organized, and completed in accordance with departmental, organizational, and funding requirements. The Finance Clerk reports directly to the Prevention Administrative Coordinator and indirectly to the Prevention Director.

 

Responsibilities:

• Process purchase orders, submitting invoices, cheque requisitions, and expense claims in a timely manner.

• Maintain accurate and organized financial records for Prevention programs and services.

• Ensure all financial documentation is complete, properly coded, and compliant with policies.

• Assist in reconciling expenses and verifying financial transactions.

• Support tracking of program budgets under the direction of the Administrative Coordinator.

• Assist in monitoring expenditures to ensure alignment with approved budgets.

• Provide financial data and updates as requested for reporting purposes.

• Assist in preparing financial summaries and supporting documentation for reports.

• Maintain up-to-date filing systems for financial records (digital and physical).

• Ensure accuracy and confidentiality of all financial information.

• Support general administrative duties as required within the Prevention Team.

• Assist with organizing financial documents for audits, reviews, and reporting.

• Work collaboratively with the Receptionist, Fleet Coordinator, Administrative Coordinator and Prevention Team to ensure smooth office operations.

• Follow all financial procedures, policies, and funding requirements.

• Maintain confidentiality of financial and program-related information.

• Ensure accuracy and integrity in all financial processing and documentation.

• Act in a professional and respectful manner always and serve as a positive role model while representing Onion Lake Cree Nation.

• Perform other related duties as assigned by the Prevention Administrative Coordinator.

 

Qualifications:

• Diploma or certificate in Accounting, Business Administration, Office Administration, or related field is considered an asset.

• Equivalent combination of education and relevant experience may be considered.

• Experience in basic bookkeeping, accounts payable, or financial administration.

• Strong attention to detail and accuracy in financial processing.

• Proficiency in Microsoft Office (especially Excel, Word, and Outlook).

• Demonstrate proficiency and experience in working with Xyntax.

• Ability to manage multiple tasks and meet deadlines.

• Experience working in a First Nation or non-profit environment is an asset.

• Ability to maintain confidentiality and handle sensitive financial information.

• Valid Class 5 Driver’s License is required.

• Clear Criminal Record Check and Vulnerable Sector Check is required.
