Job Summary: The Executive Assistant to the Chief provides senior-level administrative and executive support to the Office of the Chief. This position is responsible for managing the Chief’s schedule, coordinating communications, preparing briefing materials and correspondence, and supporting organizational and intergovernmental initiatives. The role ensures the efficient flow of information, maintains strict confidentiality, and facilitates effective communication between the Chief, to council, internal departments, government partners, and external stakeholders. Through these responsibilities, the Executive Assistant contributes to the advancement of Onion Lake Cree Nation’s strategic priorities and organizational objectives.

Responsibilities: 

  • Develop and maintain relationships between different levels of government and external organizations.

  • Become familiar with all Onion Lake Cree Nation funding opportunities and funding agreements.

  • Monitor, identify and analyze legislative developments and government priorities that could affect the Nation.

  • Manage and facilitate meetings also ensuring briefing notes are prepared for the Chief.

  • Work collaboratively with colleagues to coordinate their participation in meetings and briefings as appropriate.

  • Read, review and evaluate documents, and have the Chief briefed with reports.

  • Attend and participate effectively in meetings with the Chief.

  • Networking and building relationships with provincial, municipal, federal, and Indigenous government officials and facilitating relationship building between elected representatives to raise understanding of and support for the Nation.

  • Maintain schedules and calendars of the Chief weekly agendas and communicates with Council.

  • Maintain the office of the Chief when absent, taking calls, messages, conducting follow ups and briefing notes. 

  • Communicate travel schedules, work with other executive assistants in office to communicate itineraries and assist with travel arrangements. 

  • Review Chief's mail and summaries important letter and documentations, distribute as necessary. 

  • Review all documents, reports, and correspondence required for Chiefs signature.

  • Participates, as assigned, in the development and implementation of goals and priorities of the Chief.

  • Transcribe dictation notes and briefing notes of the meetings that Chief is unable to attend.

  • Record Chief and Council meeting minutes with motions when required.

  • Communicate and disperse motions and directives in written form to senior managements. 

  • Other duties directed by the Chief.

Qualifications:

  • Post-secondary certificate in Business Administration or a related discipline required 

  • 2–5 years’ experience in an administrative role preferred

  • Strong knowledge of office procedures and practices

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) 

  • Strong organizational, time management, and technical writing skills 

  • Ability to work evenings and weekends as required

  • Valid Class 5 driver’s license required

  • Ability to understand and communicate in Cree is considered an asset

  • Knowledge of First Nations and non-First Nations government structures, programs, legislation, and policies 

  • Strong understanding of First Nations communities, traditions, and cultural protocols

  • Familiarity with government decision-making processes and political networking 

  • Experience working within or alongside First Nations government environments is an asset
