Job Summary: The Executive Assistant provides administrative and operational support to the Director of Public Relations and helps ensure the effective daily operation of the OLCN Public Relations Department. This role serves as the department's central administrative contact, supporting scheduling, correspondence, meetings, records management, financial documentation, communications, staff coordination, event planning, and project tracking. The position also helps coordinate information between Public Relations, OLCN Leadership, Administration, departments, community members, and external organizations. A high level of professionalism, confidentiality, accuracy, discretion, and sound judgment is required.

Responsibilities: 

  • Provide administrative support to the Director and department.

  • Manage schedules, meetings, correspondence, deadlines, and departmental commitments.

  • Prepare and maintain reports, records, files, meeting materials, and other documentation.

  • Coordinate communication with Leadership, Administration, departments, and external contacts.

  • Organize and track information for distribution through OLCN communication platforms.

  • Assist with community schedules, event calendars, and PR coverage of meetings, events, livestreams, podcasts, and radio.

  • Support staff scheduling, travel, assignments, and departmental follow-up.

  • Prepare and track financial documents, including purchase orders, invoices, reimbursements, and reconciliations.

  • Assist with reports, statistics, archives, project tracking, and special initiatives.

  • Maintain confidentiality and compliance with OLCN policies and procedures.

  • Perform other related duties as assigned.

Qualifications:

  • Certificate, diploma, or post-secondary education in Office Administration, Business Administration, Communications, or a related field; equivalent combinations of education and experience may be considered.

  • Administrative or Executive Assistant experience, preferably supporting senior management.

  • Strong organizational, records-management, communication, and time-management skills.

  • Proficiency in Microsoft Office, Google Workspace, email, calendars, spreadsheets, and electronic document management systems.

  • Demonstrated professionalism, discretion, confidentiality, initiative, attention to detail, and sound judgment.

  • Ability to work independently, manage competing priorities, solve problems, and work collaboratively.

  • Knowledge of OLCN, First Nations organizations, Cree language, and community protocols are assets.

  • Valid driver's license may be required.
