Employment Information

• Assist the Executive Director in planning, implementing and evaluating activities in accordance with the Agency’s goals, objective and priorities.
• Ensure availability for regular and after hour meetings, consultation and supervision.
• Understand and abide by the policies, procedures, mandates, regulations, and other requirements that govern the agency.
• Filing important documents
• Keeping important information and documents organized physically and electronically.
• Prepare relevant documentation for the Executive Director requested by the Board.
• Maintain work schedules and calendars for the Executive Director.
• Prepare travel schedules, make travel arrangements, and reservations.
• Coordinate meetings, seminars, workshops, special projects and events.
• Review all documents, reports, and correspondence prepared for executive Director’s signature.
• Ensure availability for regular and off-hour work.
• Ensure not to engage in gossip, defaming one’s character, and/or slander related to any employee, client, board member or other.
• Always conduct in ethical manner.
• Knowledgeable and proficient in use of the policies, mandates, regulation, and procedures used by the Agency
• Adhere to all OLFS policies and procedures
• Other duties that are complimentary to role of Executive Assistant

QUALIFICATIONS AND EDUCATION REQUIREMENTS

• Post – Secondary Diploma in Business Administration, or relevant discipline is preferred. Certificate or diploma in Office Administration
• 3 years experience in an administrative role
• Valid Driver’s License with acceptable abstract
• Clear criminal record with vulnerable sector
• Combined education and experience will be considered
