Employment Information

Responsibilities: 
Provide administrative support to the Director of Technical Services and department staff.
Use Xyntax to process purchase orders, invoices, account coding, payment tracking, and financial records.
Coordinate with Finance to ensure accurate and timely processing of invoices, payments, and supporting documentation.
Maintain project and departmental budget tracking spreadsheets and monitor expenditures, budgets, commitments, and funding allocations.
Review invoices and documentation for completeness prior to approval and payment.
Prepare financial summaries, expenditure reports, budget updates, and other management reports.
Maintain organized electronic and physical records for projects, contracts, purchase orders, invoices, and correspondence.
Prepare letters, reports, meeting minutes, spreadsheets, and other administrative documents.
Coordinate meetings, appointments, and departmental calendars; provide administrative support for procurement and capital projects.
Track outstanding invoices, contracts, approvals, and action items to ensure deadlines and commitments are met.
Maintain confidentiality of financial, employee, contractor, and organizational information.
Communicate professionally with internal and external stakeholders.
Perform general office administration, filing, document management, data entry, and other assigned duties.
Qualifications:
Diploma or degree in Business Administration, Accounting, Finance, Office Administration, 
Management, or a related field.
Minimum 2–3 years of experience in administration, finance, accounting support, project administration, 
or a related role.
Experience with Xyntax software is strongly preferred.

 Knowledge of accounting and financial processes, including invoices, purchase orders, budgets, account coding, and expenditure tracking.
Advanced Microsoft Excel skills and proficiency in Microsoft Office (Word, Outlook, Teams, 
PowerPoint).
Experience working with financial records, budgets, invoices, and purchase orders.
Strong organizational, document-management, attention to detail, and communication skills.
Ability to manage multiple priorities, meet deadlines, and work independently while supporting a multidisciplinary team.
Experience in Technical Services, Public Works, Capital Projects, Construction, Engineering, or an Indigenous government environment is an asset.
