Position: Administrative Assistant
Department: Native Justice
Job Classification: Full-Time (safety-sensitive)
Reports to: Native Justice Manager
Job Summary: The Administrative Assistant will be responsible for providing secretarial and administrative support on order to ensure that services are provided in an effective and efficient manner. Also responsible for answering the phone line, taking messages, responding to inquiries, and documenting the incoming calls for the Treaty Law office. Maintain confidentiality and professionally interact with employees, management and the public. Must be able to travel if necessary. Follow the Onion Lake Cree Nation Personnel Policy and Manual. The position would report to the Justice Manager.
Responsibilities:
•Maintain excellent communication at all times.
•Responds to phone, email, and fax messages and in-person inquiries which involves providing general information and referring inquiries to appropriate sources.
•Record all incoming calls and messages.
•Retrieve the post office mail weekly and record all incoming/outgoing mail logs.
•Maintain confidentiality, tact and respect at all times. Including confidential mail and client information, appointments, etc.
•Greet staff and public in a friendly, professional manner.
•Knowledge of safety procedures when an angry client or public member enters the office.
•Knowledge and ability to follow lunch time procedure. Ensure calls are forwarded to voicemail during half-hour lunch break.
•Schedule and manage round hall booking and deposits.
•Bond-able.
•Collect cheques and safekeeping when required.
•Arrange travel bookings when required.
•Assist with staff meeting minutes in absence of admin staff.
•Assist with public events, forums, community events, etc.
•Ability to multitask in a fast-paced environment.
•Assist with correspondence, reports, and documents of a routine or confidential nature when necessary.
•Assist with preparation of meetings regarding set up of meeting area, grabbing lunch orders, pertaining to staff, board, client meetings, etc.
•Will be responsible for ensuring that all office equipment is maintained and keeping office equipment inventory annually.
•Attend monthly staff meetings and provide monthly report if required.
•Keep office area clean and tidy.
•Communicate absences ahead of time when possible so front area is covered during work hours.
Qualifications:
•Related experience in the area of reception work or equivalent.
•Minimum Grade 12 diploma or equivalent.
•Certified in the area of Administrative Support and Office Assistant.
•Knowledgeable with Microsoft Programs (Outlook, Word, Excel, PowerPoint).
•Strong knowledge of Office procedures and practises including record keeping.
•The ability to speak Cree is an asset.
•Must have knowledge of First Nation culture, traditions, and customs.
•Must have strong communication skills, both written and oral.
•The ability to work independently is a definite requirement.
•Must live a sober and drug free lifestyle.
•Valid Class 5 driver’s license, own vehicle and must be willing to travel.
•Clear Criminal Record with Vulnerable Sector.
